Have you ever lost a strong applicant because nobody got to them in time?

Applied on Monday. Read on Thursday. Took another job on Wednesday.

Who this suits

  • Each opening brings in dozens of applications, sometimes hundreds.
  • Recruiters read every one before the first call.
  • Booking one interview takes three emails back and forth.

When to leave it alone

Hiring a handful of people a year? Read each application yourself. If openings draw five applicants, you need more reach, not faster screening. We'd say so.

Where it stalls: the unread pile

  1. Opening approved
  2. Posted
  3. Applications in
  4. Screened
  5. Shortlisted
  6. Interview booked
  7. Offer

Screening is the slow step, so good people cool off while they wait.

Requirements get checked by eye on a busy afternoon. The Monday applicant is gone by Thursday.

In staffing, it's the job order a client wants filled this week. In home health, it's a caregiver opening in a hard-to-staff area. In manufacturing, it's the second-shift operator role.

What we'd build: a same-day shortlist

Every application is read against the requirements you wrote. Each gets a fit rating, with its reasons.

What changes

  • Applications are read on the day they arrive.
  • Each is checked against your written requirements, reasons shown line by line.
  • Strong fits are offered interview slots straight away.
  • Recruiters spend the day talking to people, not sorting files.

What it's worth to you

Count last month's applications. Multiply by the minutes each takes to read. Multiply by your recruiters' hourly cost.

Then add the strong applicants who accepted another offer first. You can probably name two or three.

How it runs, start to finish

Show the whole run

What it works from

Your applicant tracking system, the job boards that feed it, and your calendar for interview slots. It runs whenever an application lands. We check each source with you during the first conversation.

The steps

  1. Reads each application and résumé as it arrives.
  2. Checks it against the requirements written for the role.
  3. Sorts it: strong fit, close fit, or missing a requirement.
  4. Shows the reason behind each rating.
  5. Offers interview slots to strong fits from your calendar.
  6. Sends recruiters a short shortlist each day.

Where a person signs off

A recruiter decides who moves forward. The shortlist only suggests.

What it never does

It never rejects anyone by itself. It checks only the job's written requirements. Age, race, gender and other protected traits never enter a rating.

What we'd ask of you

Access to your applicant system. Written requirements for each role. Fifty past applicants, hired and passed over.

It usually comes with

  • New-starter onboarding: the hire is ready to work in week one.
  • Credential tracking: licenses and checks followed from the first day.
  • Call-out cover: cleared people go straight into the pool.

You become the employer who answers good applicants first.

Strong applicants hear from you the day they apply, while they're still available.

Yours won't look exactly like this. A first conversation is where we work out what it should look like.
